POS & Inventory Software for Tanzanian Shops: VAT, Mobile Money and Stock Control

Shops and service businesses in Dar es Salaam, Arusha, Mwanza, Zanzibar and Dodoma live with mobile money, fiscal receipt rules and tight margins. This guide explains what to look for in point of sale and inventory software in Tanzania, and where a general system like RetailMatrix helps and where you will still need other tools.

Mobile money is part of every till

In Tanzania, customers pay with M-Pesa, Tigo Pesa (now Mixx by Yas), Airtel Money and HaloPesa as readily as with cash. If your POS only knows cash and card, mobile money payments end up in a notebook, and reconciling them at the end of the day becomes guesswork.

RetailMatrix lets you add each mobile money service you accept as a payment method under Settings, so every sale is recorded against the right one, with an optional reference field for the transaction ID. To be precise about it: these are recorded manually at the till. The built-in M-Pesa STK Push in RetailMatrix connects to Safaricom's Daraja platform, which is Kenyan M-Pesa, so it does not apply to Vodacom M-Pesa in Tanzania.

VAT at 18% and fiscal receipts

Tanzania's VAT rate is 18%, and VAT registration is generally required once annual turnover reaches TZS 100 million. Businesses registered with the Tanzania Revenue Authority are expected to issue fiscal receipts using the device or system TRA requires for them. Confirm your obligations with TRA or an accountant.

RetailMatrix is not a fiscal device and is not connected to TRA. It keeps your own itemised sales, tax and stock records, and you set the tax rate that applies to your products. If you must issue fiscal receipts, keep doing that through the device or TRA-approved system, and use RetailMatrix for the day-to-day running of the business.

Stock control for wholesalers and shops

For shops and distributors, the daily problems are knowing what is on the shelf, what a supplier has really delivered, and which product is losing money. Look for stock that updates on every sale, purchase orders with partial receiving, low-stock alerts, and a clear history of every stock adjustment.

If you sell on credit to regular customers, per-customer balances are just as important: who owes you, how much, and since when.

Staff logins and accountability

A shared owner's login means nobody is accountable for a missing sale or a deleted product. Give each person their own login, limit what they can see, and ask for typed confirmation before anything is deleted. RetailMatrix does all three.

A short checklist for a Tanzanian small business

  • Can you add M-Pesa, Mixx by Yas, Airtel Money and HaloPesa as payment methods?
  • Is there a reference field for the mobile money transaction ID?
  • Can you set 18% VAT and mark taxable products?
  • Do you know how you will meet any fiscal receipt requirement that applies to you, separately from the POS?
  • Does stock update on every sale, with purchase orders for restocking?
  • Does each staff member have their own login?

Where RetailMatrix fits, and where it does not

RetailMatrix suits shops, wholesalers and service businesses, with a 14-day free trial and no card required. It needs internet while you sell, mobile money is recorded manually rather than connected live, and it does not replace a fiscal device or file anything with the tax authority.
