POS & Stock Control Software in South Africa: VAT, EFT and Load-Shedding

South African small businesses juggle VAT, EFT payments, card machines and, for many, the practical reality of load-shedding. If you run a spaza shop, hardware store, salon or retail business in Johannesburg, Cape Town, Durban or elsewhere, here is what to look for in point of sale and stock control software.

VAT at 15% and the registration threshold

South Africa's VAT rate is 15%. Registration with SARS is compulsory once your taxable turnover exceeds the threshold, which rose to R2.3 million from 1 April 2026, and voluntary registration is possible from a much lower turnover. Confirm the current rules with SARS or your accountant.

A POS cannot register you for VAT, but it should make a VAT period painless: a configurable tax rate, products marked as taxable or not, and itemised sales and invoices you can hand to your bookkeeper. RetailMatrix keeps those records; it does not submit returns or connect to SARS systems.

EFT, card and the tools South Africans actually use

Customers pay with cash, card and EFT, and many small merchants use their own card machines or payment apps. A good POS lets you record all of these cleanly instead of forcing everything into "cash".

RetailMatrix records card and bank transfer (EFT) payments at the till and lets you add the methods you use, such as SnapScan, Zapper, Yoco or a specific card machine, under Settings. These are recorded manually; RetailMatrix does not connect to those providers. If you want online card payment links, you can connect Stripe or PayPal.

Stock control for shops with real shrinkage problems

Shrinkage, from theft to unrecorded breakage, hits South African retailers hard. The countermeasures are the same everywhere: stock that updates on every sale, stock adjustment history with a person's name against each change, low-stock alerts, and supplier purchase orders so deliveries are checked against what you ordered.

Give each staff member their own login. When everyone shares the owner's account, nobody is accountable and discounts or deleted sales cannot be traced.

Load-shedding, data and the cloud

Cloud software runs in your browser, so you need internet while you sell. In practice that means a phone or router on battery or a UPS, plus mobile data as a fallback. It is a real consideration in South Africa, and it is worth testing your setup before relying on it.

The benefit is that nothing is trapped on one machine. If a computer is stolen or fails, you sign in from another device and your sales, stock and clients are all still there.

A short checklist for a South African small business

  • Can you set 15% VAT and mark products as taxable or exempt?
  • Can you record EFT, card and payment-app sales separately?
  • Does stock update automatically and warn you before you run out?
  • Does each staff member have their own login and permissions?
  • Do you have a power and data backup so the till keeps working?
  • Is there a free trial so you can test it with your own products first?

Where RetailMatrix fits, and where it does not

RetailMatrix suits retail shops, wholesalers, repair businesses and service providers who want sales, quotes, invoices, clients and stock in one system, with a 14-day free trial and no card required. It needs internet while you sell, it records payments but does not process them for local providers, and it does not file VAT returns or connect to any tax authority's systems.

Frequently asked questions

What is the VAT registration threshold in South Africa?

Compulsory registration applies once taxable turnover exceeds R2.3 million from 1 April 2026 (previously R1 million). Voluntary registration is possible at a lower level. Confirm with SARS or your accountant.

Can I record SnapScan, Zapper or Yoco payments in RetailMatrix?

You can add them as payment methods under Settings so every sale is recorded against the right one. They are recorded manually and are not live connections.

Will RetailMatrix work during load-shedding?

It runs in your browser, so it needs power and internet. Use a UPS or battery for your device and router, and keep mobile data as a backup.

Does RetailMatrix submit VAT returns?

No. It keeps itemised sales, tax and stock records to help you and your accountant, but it does not submit returns or connect to any tax authority's systems.
